We process personal data to communicate with you, for example for:

Which personal data do we process?

Website visits – Cookie use

Datarotonde uses cookies on its websites. Cookies are small information files stored on the device you use to visit our website, such as a computer, tablet or smartphone. Cookies do not endanger your device. We use three types of cookies. More information can be found in our cookie statement.

Using contact forms

You can contact us by filling in a form or sending an email. The data you provide may be stored in our CRM system and shared internally to assist you. Emails are stored for up to two years after the conversation ends.

Newsletters

You can subscribe to our newsletters to stay informed. We store your name and email address until you unsubscribe. Each newsletter contains an unsubscribe option.

Participation in events or campaigns

For events you must register. The data is used to inform you, send reminders, notify changes and provide follow-up information. Data is stored for two years. Student data is stored for six months unless agreed otherwise.

Photos and videos may be taken during events for reporting and promotion. Media is stored for two calendar years. You always have the right to request removal of recognizable images.

Social media

Datarotonde uses social media such as LinkedIn to share updates. When you contact us via social media, we respond via the same channel or using provided contact details. Datarotonde has no influence on what data social platforms collect.

Office visits / visitor registration

Visitors to our office in Veenendaal are registered for safety purposes. Registrations are deleted after a few days unless circumstances require longer retention.

Camera security

Our offices are equipped with cameras for the protection of people and property. Footage is only reviewed in case of incidents and deleted after two weeks unless legally required otherwise.

WiFi network

When using our WiFi network, technical data such as MAC addresses are collected. This data is deleted after one year and used only to prevent misuse.

Applicants

If you apply via our website, your data is stored in our CRM system and shared with relevant colleagues. If you are not hired, data is stored for six weeks or longer with your consent (up to two years).

Pre-employment screening

Certain roles require screening, including identity checks, diploma verification, references, VOG and registers. Screening is carried out by International Integrity Services under supervision of the Ministry of Justice and Security.

Services

When providing services, we store necessary personal data such as name, role and contact details as long as required for the agreement.

How do we secure your data?

We take appropriate technical and organizational measures to prevent misuse and unauthorized access. Access is limited, connections are secured, measures are monitored and employees are bound by confidentiality.

Do we share your data with third parties?

If necessary, we share data with external service providers with whom we have data processing agreements. Data is not sold and is not shared outside the EU/EEA without appropriate safeguards.
